CANCELLATIONS
By Us: We reserve the right to cancel your booking for any reason; this includes, amongst others, dangerous weather, safety issues and unforeseen circumstances. In the unlikely event that we have to cancel, we aim to give customers as much notice as possible. Please note we do not offer refunds or any other form of compensation if we cancel; however, we do offer guests the opportunity to rebook a future event at the same price in the next 12 months. We will be in contact if this is a necessary action.
By You: Your booking is non-refundable. If for any reason you are unable to use your tickets, you have two options – transferring to an equivalent dinner event in the same season, or swapping your ticket to someone else. For either of these options you will need to contact us at least two weeks prior to your event date. We are unable to accommodate late requests for booking transfers.
Booking transfer to alternative date: Available up to two weeks prior to your original event date (4 weeks for group bookings of 10 or more). Tickets can be exchanged for an equivalent dinner event in the same season (depending on availability).
Booking swap to a new ticket holder: If you’re unable to attend the event, you may transfer your booking to a friend. In order to do this, you will need to contact us to provide details of the new ticket holder (name, email address and mobile number) at least 2 weeks before the event.
DIETARY REQUIREMENTS AND ALLERGIES All food will be plant based meaning the menu is based on plants only and free of any meat products. We will very rarely use non-plant products such as honey or A2 ghee from special local sources where we have ensured the supplier’s sustainability and harm-free practices. If you did not already do so upon booking, please let us know as soon as possible if you have any specific allergies or medical conditions. Please be mindful that due to the bespoke, seasonal menu requirements, we will not be able to accommodate any last-minute requests.
Attention to customers with food allergies: Unfortunately, we cannot guarantee a 100% allergen free event such as GF or nut free. While me and my team take all possible steps to minimise risk and safely handle the foods that contain potential allergens, please be advised that cross contamination may occur. Given that we cook on real fire in the outdoors and that the Cookhouse is not only used by me and my team but is frequently used by the Wilderness wood community, and given that we do not have a dedicated preparation area in our kitchen for nut-free or gluten-free food, we cannot fully eliminate possible cross contamination.
If you have a specific allergy or if your allergy is particularly severe we would always ask that you bring with you any inhalers/epi-pens or emergency equipment that you may require as although we will avoid allergens during preparation we cannot always guarantee cross-contamination where food is prepared in a kitchen which may contain said allergens.
ADDITIONAL DRINKS The 7-course menu will be served with a complimentary non-alcoholic welcome drink and infused natural filtered spring water. You can purchase additional locally produced wine and non-alcoholic drink pairings. We will have a card reader on site, so you will not have to bring any cash.
TIMINGS You are welcome to arrive before your dinner and go for an explore of the trail around the edge of the wood. As my team and I will be busy setting up the big table and cooking up a feast for you, we need to keep the Cook House free for preparation, so we kindly ask you to not enter the Cook House before 6pm.
You are welcome any time from 6pm onwards to come into the Cook House but please be no later than 6.20pm.
6pm to 6:20pm - Arrival at Cook house
6:30pm – Welcoming talk and first course
8:30pm - Estimated finish time
These timings are guidance only and may vary night to night.
LIABILITY AND RESPONSIBILITY We take guests health, wellbeing and safety very seriously. We provide lighting and guided paths, alongside a access to a first aid medical kit and fire extinguisher. We ask that guests bring their own medical needs, such as EpiPen’s, crutches, inhalers etc. if they so require them. We have firepits on site and advise You stand a safe distance from these. Don’t forget the event includes open fire cooking with several fire stations which poses a hazard of serious burning and we are using heavy tools for moving hot embers and sharp kitchen utensils. Therefore, for young and old, please keep your distance from the kitchen and ask the staff for assistance in case you need anything. Further, the terrain is not flat and may have natural and unnatural holes, logs, bumps and other potentially hazardous environments and structures. Guests should take care and responsibility for their health and safety when on the premises.
In case you bring children to the events, please note that we do not take any responsibility for your children and want to stress that we hold parents responsible for their children’s safety and wellbeing during the events. So please supervise your children at all times.
We exclude any and all liability whatsoever and howsoever arising in relation to the event to the fullest extent permitted by law.
SMOKING Guests are only permitted to smoke in designated areas. In some circumstances and in particularly dry weather We may ask Our guests to refrain from smoking altogether at Our discretion.
DRINKING AND DRUGS Alcohol is not permitted to be brought on site. We may provide bar services from time to time at Our discretion in accordance with Wilderness Wood’s licence. Guests are reminded to drink responsibly. We have a “zero tolerance” drugs policy and We will remove guests who bring or use drugs or any other illegal substances on site without compensation for Your costs.
CUSTOMER BEHAVIOUR AND CONDUCT Wilderness Wood is a community project and has several people living on site. Please respect their privacy and do not enter any private property during your stay. Further, please note We operate within Wilderness Wood licensing hours and will ask all guests who are not staying overnight with us to vacate the premises by 10pm at the latest.
Our hosts, Chefs and other staff respect Our guests and wish for them to have a good time; We ask that guests return that respect. Offensive or inappropriate behaviour will not be tolerated. If You engage in such behaviour activities, We may expel You from the event and the Location without compensation for Your costs.
CHILDREN Due to the nature of the event, we do not actively advertise children’s tickets. You can, however, get in touch with Us via email and we can try and offer you a special family booking arrangement depending on availability and space.
LOCATION AND PARKING Wilderness Wood is easy to find - you just turn off the A272 in the village of Hadlow Down, East Sussex, TN22 4HJ into the carpark. When you get to Hadlow Down, you will see a brown visitor attraction sign and a funky vertical sign.
Please see the map and keep your eyes peeled as you come into the village as sat nav occasionally sends people to the village hall, or to a completely different Wilderness Wood, 12 miles from here.
What 3 Words are: radiates outreach majority.
The closest train station is Buxted (on the London Bridge to Uckfield line). From there it is a 5 minute drive or, better still, you can walk to us along public footpaths through fields and woodland. Please get in touch for a map. The closest bus-stop is a 10 minute drive away at Cooper’s Green, near Uckfield, which is on a regular bus line between Brighton and Tunbridge Wells.
There is an allocated spacious carpark onsite. We will not be held responsible for any damage to guests’ vehicles.
WHAT TO WEAR We advise you to dress warm enough and choose a sensible dinner couture for the outdoors. Even if the summer sun is still lingering, it can get cold at night. Shoes will need to be sturdy enough and if you are coming with children, please pack some waterproofs, just in case it rains - this is an all weather event.
DAMAGES We reserve the right to charge You for any and all damage done to the Location by You. Lost or Damaged Items Neither We nor Our staff take responsibility for damaged or lost items whilst You are with us and advise You to take due care.
JURISDICTIONThis agreement is governed by the laws of England and Wales and is subject to the exclusive jurisdiction of the English courts.
